Where it fits and where it doesn't

Copilot Studio offers a low-friction path, but doesn't fit every case

If your operations already run on Microsoft 365, identity, permissions, conversation channels, and governance are already managed: building the agent there avoids a parallel platform. We identify cases where another approach is more appropriate before development.

A good fit when

  • The organization already uses Microsoft 365. Teams, SharePoint, and Entra ID are used daily: the agent builds on what is already managed.
  • The knowledge exists in writing. Current manuals, policies, and procedures in SharePoint, even when scattered.
  • IT requires formal governance. Separate environments, data loss prevention policies, and centralized auditing through the Power Platform admin center.
  • The agent needs to act as well as respond. System actions are handled through Power Automate workflows rather than improvised integrations.

Another approach is better when

  • The process is deterministic end to end. If there is no conversation — an email arrives, is recorded, and triggers a notification — you need a workflow. That is Microsoft 365 automation.
  • Content is outdated or contradictory. An agent working from contradictory documents reflects those contradictions. We curate the content first; that work is part of the project.
  • The response requires contractual accuracy. For legal or regulatory matters, the agent provides the document and its reference without drafting an interpretation.
  • The organization does not use Microsoft 365. Then the agent is built on another architecture; the criteria are explained in AI agents and in self-hosted orchestration.

What your organization provides before development

We agree on these requirements at the start: an agent needs a content owner and escalation rules to avoid becoming another unattended inbox.

IT responsibilities

  • Power Platform environments. Separate development and production environments, with someone authorized to approve publication in Teams.
  • Data and connector policies. Which connectors are allowed and which sources the agent can reach under your data loss prevention rules.
  • Service accounts for connections. Least-privilege access controlled by IT, rather than the developer's personal account.
  • A defined consumption model. Copilot Studio is billed by consumption at tenant level, with prepaid capacity or pay-as-you-go options; the model is sized with IT before commitments are made.

Business responsibilities

  • A content owner. Someone responsible for identifying the current document when two versions conflict.
  • Real questions. The history of what people actually ask — emails, chats, tickets — is more valuable than an imagined list.

Do we need Microsoft 365 Copilot to have an agent?

Not necessarily. Copilot Studio has its own tenant-level, consumption-based licensing, with prepaid capacity or pay-as-you-go options; Microsoft 365 Copilot licensing is another access route. We review the right option with IT before development, alongside the rest of the licensing for your automation platform.

Where is the information the agent queries?

The agent resides in your organization's tenant and queries only sources authorized by IT. Sources and access permissions are defined during development under your existing data policies and ours, published under security and governance.

What does the agent do when it doesn't know the answer?

It says so and escalates to a person with the conversation history rather than improvising. Every unanswered question is logged and becomes part of next month's improvement list; with managed operations, we take responsibility for that review cycle.
